Refund & Cancellation Policy
Scope
This policy applies to all services provided by [Your Centre Name] including:
- Preschool programmes
- Daycare services
- Activity classes (e.g., arts, dance, music)
- Sport classes
Any registration, admission, tuition, subscription or service fee paid is subject to the terms below.
Non-refundable fees
- Registration/admission/enrolment/onboarding fee: non-refundable once paid.
- Any one-time material, kit, uniform, or administrative charges already incurred: non-refundable once issued or purchased.
- Services already delivered/attended: No refund or credit for past sessions.
Refundable / Partial Refund Situations
- If a programme has not yet started, and cancellation is requested in writing 2 days before start, tuition (less registration/admission fee) may be refunded.
- If the centre cancels a class or programme entirely, a full refund or equivalent alternative will be offered.
- In case of illness, relocation, or medical reason, prorated refund/credit may be given with documentation — only if the Membership Fee has been paid.
- For advance payments (semester/term/year), unused portions may be refunded/credited if withdrawal is requested in writing and notice period is followed.
Withdrawal / Cancellation by Parent / Guardian
- No refund for sessions already delivered.
- A minimum written notice (e.g., 30 days) is required for any refund/credit on future unused sessions.
- If notice is given after billing cycle start, next billing cycle will be charged in full; refund applies from next cycle.
- Absences (illness/leave) are non-refundable unless approved under exceptional circumstances.
Cancellation by Centre / Service Interruption
- If classes are cancelled by the centre (not force-majeure), full refund or alternate class will be provided.
- In unavoidable closures (natural disaster, govt order), refund may not be possible; credits/adjustments may be offered.
Method & Timeline for Refunds
- Refund requests must be submitted in writing (email or in-person) with child’s details and reason.
- Once approved, refunds will be processed within 15–30 business days via the original payment mode.
- Outstanding dues will be adjusted before refund.
- Any bank/transaction charges will be borne by the payer.
Credits & Transfers
- Credits may be offered in lieu of refunds for future classes/programmes.
- Transfers between services require centre approval.
- Unused credits expire after 12 months unless otherwise approved.
Policy Amendments
- The centre may amend this policy from time to time with notice to parents/guardians.
- The policy current at the time of enrolment governs unless superseded.
Special / Exceptional Circumstances
- Exceptions (e.g., medical emergencies, relocation) may be granted at the centre’s discretion, with documentation.
- The centre’s decision in such matters is final.
